Location Trade Show Rules & Regulations

You must familiarize yourself with the Location Trade Show Program's Rules & Regulations prior to registering for any trade shows. Thank you.

I.        Industry Certified Event

a)     The AAMA must have five (5) member companies registered to exhibit at each location trade show for it to be considered an industry certified event.  If registration falls below five (5) companies for any particular trade show, it will be removed from the AAMA Location Trade Show (LTS) calendar and your company will be notified immediately and will be credited for the cost of the booth space.

 

II.       Solicitation

a)     The AAMA will solicit its Location Trade Show Program (LTSP) on an annual basis.

b)     Registration forms will be sent to the entire AAMA membership via regular mail, it will be inserted into the AAMA monthly e-newsletter, Loose Change, and a downloadable registration form will be available on-line.

 

III.      Location Trade Show Policy & Procedures

a)     AAMA manufacturer and supplier members who did not exhibit at the previous year’s Amusement Showcase International are not eligible to receive the AAMA booth subsidy for any booths taken as part of the LTS program. AAMA member distributors that wish to exhibit at a local show on the LTS calendar will be exempted from this requirement.

b)     All AAMA Members are entitled to one (1) booth per show at the AAMA discounted rate of $500.00 off the show rate. If your company would like additional booths, your company will have to pay the full amount for that particular show rate. The AAMA WILL NOT honor additional booth spaces at the discount. Should you choose a standard booth and a corner booth, the AAMA will honor the discounted rate for the standard booth only and will charge you the full amount for the corner booth.

c)      Your company may also be responsible for paying a particular trade show's association dues. For example, if one were interested in obtaining the discounted booth rate at the Amusement Showcase International (ASI), one would have to pay association dues to the AAMA. The same applies for the Location Trade Show Program. The AAMA will do its best to have its members come under the AAMA umbrella. Meaning, the AAMA will pay the dues up front in order to receive the entire pavilion at a discounted rate. However, those member companies exhibiting at this particular show will split the one time cost of the association dues evenly. This still beats paying dues individually and will provide the association and its members great savings.

d)     After the AAMA has received your payment and has processed your registration form, your company contact will receive a confirmation via or e-mail. If you did not receive an e-confirmation, please send your request to vcabrera@coin-op.org.

e)     The AAMA will send you an exhibitor letter welcoming you to the AAMA pavilion for a particular trade show informing you of pertinent information you will need in order to exhibit within the pavilion itself.

f)      A booth amenities order form will be enclosed with your exhibitor welcome letter. This form will give you the chance to place your booth amenity orders through the AAMA.

g)     The AAMA will order your booth amenities (carpet, furniture, electric, lead retrieval etc.) for you, including cleaning. Should you not require cleaning for your booth; you must inform the AAMA on the amenities form for each show, otherwise, you will be charged for cleaning services.

h)     Early tear down at any Location Trade Show is not permitted.

 

IV.       International Trade Shows

           The AAMA will continue to host a pavilion at various international trade shows, such as the ATEI; however, the association will no longer subsidize booth spaces for these shows. The AAMA will attempt to negotiate a better rate on behalf of its members, but cannot guarantee a direct discount from the show itself.

 

V.      Registration and Payment

a)     Payment is due within 30-days from the date of the invoice.

b)     Prices and dates of shows are subject to change. The AAMA will inform you of any additional costs or changes in dates as soon as possible.

c)      Booth spaces WILL NOT be reserved without a registration form.

d)     THE AAMA WILL NOT RESERVE SPACE FOR YOUR COMPANY WITHOUT ADVANCED PAYMENT!

e)     Should we not receive payment within a timely manner, the Association has the right to sell your booth space to another interested company without notice.

f)      Post show, your company will receive an invoice for your booth amenities (furniture, electric, carpet, drayage, etc) plus cleaning. The invoice is to be paid in full within thirty (30) days of the invoice date.

g)     Should a company have an outstanding post show invoice prior to another Location Trade Show THAT COMPANY WILL NOT BE ALLOWED TO EXHIBIT AT ANOTHER LTS UNTIL AAMA RECEIVES THE FULL AMOUNT OWED.

 

VI.      Cancellation Policy

a)     In the event your company will not be able to participate in a Location Trade Show, the AAMA will attempt to re-sell your booth space. If we are able to

re-sell your specific booth space, your company will receive a full credit. If we are unable to sell your specific booth space, YOUR COMPANY WILL FORFEIT THE PAYMENT AND WILL BE HELD RESPONSIBLE FOR THE FULL PRICE OF YOUR BOOTH(S) PLUS ANY OTHER LOSS OR FEES THE ASSOCIATION MAY INCUR DUE TO A CANCELLATION.

b)     If the AAMA pavilion is sold out, and your company is interested in exhibiting, you will be placed on a waiting list. Should another member company cancel and a booth becomes available (depending on your placement on the waiting list), you will be notified immediately.

c)      The AAMA will not guarantee to add space at any show to accommodate a company on the waiting list.
